Job Requirements
- Education: Bachelor’s degree or Associate degree in Business Administration, Information Management, Engineering, or related field.
- ISO Knowledge: In-depth understanding of ISO 9001:2015 Quality Management Systems, specifically Clause 7.5 (Documented Information).
- Experience: 2+ years of hands-on document control experience in an ISO-certified environment (manufacturing, construction, corporate, or tech).
- Software / Tools: Advanced MS Office skills (Word, Excel, PDF management).
- Core Competencies: High level of attention to detail, strong organizational skills, strict procedural discipline, and effective communication.
Job Descriptions
- ISO 9001:2015 Documented Information Management
- Establish, maintain, and enforce document control procedures compliant with ISO 9001:2015 standards (Clause 7.5).
- Manage the Master Document Register (MDR), ensuring proper identification, version numbering, status tracking, and release dates.
- Review incoming QMS documents (SOPs, Work Instructions, Forms, Manuals) to verify standard visual formatting and numbering rules prior to release.
- Document Lifecycle & Change Management
- Process Document Change Requests (DCRs) and track review/approval workflows with authorized personnel across all departments.
- Ensure obsolete documents are promptly withdrawn, archived, or marked to prevent unintended use across operational sites.
- Control the distribution of controlled hard copies and digital copies to authorized users.
Audits, Quality Compliance & Archiving - Assist internal and external auditors by retrieving required records, logs, and evidence quickly during QMS audits.
- Perform periodic document control audits to verify that current document versions are being utilized on the floor/office.
- Define document retention schedules, backup protocols, and disposal rules aligned with ISO and legal compliance requirements.
- EDMS Administration & Support
- Maintain and administer the Electronic Document Management System (EDMS) or structured cloud directory.
- Manage user access rights, permissions, and security controls to protect sensitive organizational records.
- Provide user support and guidance to staff on QMS documentation standards, templates, and filing procedures.
Working Hours: 8:00 AM to 5:00 PM
Holidays: Saturday (12:00PM), Sunday & Public Holidays
